You can email the weekly schedule or the term schedule to a group of students from the Student’s file. Go to Students > Scripts Perform a find for your group of students. Select email weekly schedule or term schedule. With the weekly schedule you need to choose the week commencing – in Calendar the week commencing is SUNDAY. An email is generated to each student in the group with their weekly schedule. Includes both tuition and ensembles With the Email Term schedule to found set, it creates an email for each student in the found set of records. User selects Term & Year (and optional Campus). A pdf file showing all tuition lessons for the selected term is attached to the email. Unlike the Weekly schedule, this pdf includes only Tuition lessons, not ensembles/classes.
A Campus filter has been added in Contacts. It allows multi-campus schools to filter students so they can see only their own campus. The filter works on the Students and the Schedule tab. It doesn't work on the Calendar tab.
When allocating unallocated students into timeslots on the schedules tab in Contacts, the popover will now automatically close when user clicks 'Copy'. If there are no available timeslots (or if none have been set up), they will get a message telling them they need to set up timeslots before they can copy/paste into a timeslot. Field showing number of available timeslots is now visible at the bottom of the 'Schedule' tab.
It is possible now to delete a found set of calendar entries. From the Calendar tab in Students, Calendar or Student tabs in Contacts or the Calendar itself click on any of the icons to print the page or print schedule Perform your find to find the entries you want to delete and select Delete Found Set red button at the top of the page
The "Print Instrument Stocktake" script has been modified so that it goes to List View and pauses instead of going to Form View and pausing (it was a bit confusing).
This Script is available in the Scripts menu in Resource Management or What Do You Want To Do > End of year procedures or Resources School Term and School Week Name now visible on Day View and Week View (if they've been entered in Calendar Set-up In What Do You Want To Do >Beginning of Year or Timetables). Little green 'Add to Calendar' button now remains visible even when the record has active calendar entries in Contacts, Ensembles/Classes file and Resources file. This allows you to add additional calendar entries for a different time period to individual entries.
Or, if an ensemble has more than 1 rehearsal in a week, you can add a second set of rehearsals to the calendar for the same time period but a different day (in this in instance, you would change the rehearsal day/time and add to Calendar. When prompted to update current bookings say No as you still want the current bookings. Then click on Calendar icon to add the bookings for the new day. In this example my Wind Orchestra has rehearsals on Tuesdays and Wednesdays This is a new tab (only for Conservatoriums so far) To add a new workshop click on the green plus A drop down list of current excursions is displayed. If it is a new workshop the pencil takes you to where workshop details can be set up. Enter details of workshop, cost, staff involved and any notes Close to be taken back to the workshop tab. Select the workshop and details are auto entered. When student is enrolled in workshop, green button ‘Produce Invoice’ allows user to create an invoice straightaway. Once the invoice is created an outstanding balance of the invoice is also seen in this portal, so user can search for all that are not paid. Invoices can be created one by one using this button, or if you go to the Excursions file, you can select script from Scripts menu to Send Workshop Fees to Accounts File and send a set of records. From the Home Menu go to Other and select Excursions Go to scripts and select Send workshop fees to accounts When you select this script a search screen is displayed where you can enter your details (Search criteria of the default search screen used in the find request is for Status = Current and Date Sent = (empty)).
