in v 8.0.76 and above Attendance Roll 2 (with ensembles) now has the option of printing with no blank lines.
Access from What Do You Want To Do > Printouts. Scroll down to Tuition. In v8.0.79 and above there is a New field: Traffic LIght. It is visible on the Debtors form view layout. Use this traffic light to tag debtors as Green (no problems) Orange (be aware of past payment issues) Red (lots of problems - don't accept enrolments!) The traffic light is manually changed by users with access to this screen. Debtors will default to Green when created. Of course the traffic light should not replace detailed notes that can be entered in the Notes tab. It's just a visual prompt. In the Students file (Form View - conservatoriums), the traffic light is visible but not editable if the value is orange or red. If the value is green, the traffic light is hidden.
The traffic light can be clicked on the Students Form View and it will take the user to the Debtors screen where they can check notes and change the traffic light setting. In v8.0.78 and above the way Ensemble fees are sent to accounts has changed so that the information displayed in Description 1 and Description 2 on the invoice is more in line with the way the information is displayed for Tuition.This is how it previously appeared:
Description 1: Concert Band Description 2: Term 2, 2018 This is how it now appears: Description 1: Concert Band - Term 2, 2018 Description 2: <<Fee Type>>, <<No. sessions>> eg. 30 min class, 8 sessions If Ensemble Fee is empty or $0, the fee type will not come across. If the No. Sessions is 1 or empty, the no. sessions will not come across. In v8.0.82 and above there are several changes in the resource file 1. New script in the Scripts menu > Resource management > Enter return date for FOUND SET. You can find a group of records, eg. all Year 7 Program instruments and enter today's date in the Date Returned field for them all at once. (It shows a message first to make sure they really want to do that!) 2. List View - Hire Description is now visible on this layout 3. List View - the 'Delete record' x at the far right of the rows has been removed and replaced with 'OMIT' button. Don't want to make it too easy for teachers to delete resources. They can still delete by going to the Form View and clicking 'Delete this Resource' red button. 4. When clicking 'Instruments' from the menu, the list will now sort by Category 2 (instrument type), then serial number, then reference number. (Previously sorted by Category 2 only.)
5. Form View: Name of current hirer now appears underneath the big red letters stating the instrument type (or music category) and description. Current hirer could always be seen in the Borrowing Details tab, but it makes it clearer and easier having that information displayed here as well. In v8.0.81 and above, the fields for student name, form, subject, report type, report semester and year have been modified on the data entry screens so that they CAN'T be entered in browse mode. (Prevents teachers from accidentally altering the data.)

In v8.0.78 and above there is now a new option in the File Preferences screen. Administrators can enter a date to force teachers to change their password, particularly useful/important after they've had an update of the files and all passwords have reverted back to be the same as the account name. (It can also be left blank.) A 'Password Change' date field has also been created in the Contacts file on the Other tab. When a teacher logs in, the system will check to see whether the 'Password Change' date in their file is an earlier date than the Password Change date in the File Preferences. If so, they will be forced to change their password.
In v8.0.77 and above there is a new Copy Paste Email script in Ensembles. It is an alternative to the 'Send Email to Found Set' button (same as in the Students file). It is particularly useful for schools using gmail or other cloud email applications. (Or if their email settings are funny and limit the number of recipient addresses or do other strange things!) You can access the script from the Ensemble enrolments file. Find your group of students. Got to Scripts > Actions > Copy Paste email You can also access it on the ensemble roll-marking screen, top right-hand corner, underneath the 'Send Email' envelopes.
It will always display the email addresses for the FOUND SET of records. In v8.0.74 and above another portal has been added to the Form View in Ensemble/Classes: Attendance Marking. It displays the roll-marking records for the selected ensemble. Note: If an ensemble has more than one staff member attached, the attendance marking portal will display one row for each teacher (because each teacher will have that ensemble on their roll). The portal also has a + sign next to it so ensembles can be added to the roll, simply by clicking this + sign (much easier than previous method!). Fields can also be edited from this portal (i.e. Week Commencing, Date, Attendance Code). Date Paid, and Staff Code can't be edited in this portal. Portal rows can be deleted but definitely SHOULDN'T be deleted if the record has a Date Paid. Attendances for the conductors can also be added to the roll from this portal. Click on the green plus next to the Attendance Roll portal. An attendance line will be added to the last roll created for all the conductors.
If you only need the additional attendance line for one of the conductors (eg you added an additional conductor and the first one was already on the roll), you can delete the entry for the other conductor by clicking on the red cross The week commencing date can also be amended by clicking on the date field In v8.0.82 and above there is a new ensemble roll - Ensemble Roll NRC. Can be printed fortnightly. Has room for student signatures and teacher verification text. It can be found in Printouts in What Do You Want To Do. Help notes are available by clicking on the question mark These rolls can also be EMAILED to the teachers (either one at a time, or as a whole group). To email the rolls to the teachers: 1. Click Ensemble Roll NRC in What Do You Want To Do? > Printouts and work through the process of setting up the headings. Choose your sort order 2. When you get to the Preview screen, check the rolls but don't print them. Click 'Continue' at the top right to return to What Do You Want To Do? 3. Go to the Contacts file and click the arrow at the far left of any current staff record to go to Form View. 4. Find a teacher (or ALL teachers that take ensembles i.e. use an asterisk in the Ensemble Name field in the Ensemble/Group/Class portal) 5. Select Script from the menu at the top of the screen, then Email Ensemble Rolls. Note: If Ensembles have more than one conductor/tutor, it will be the FIRST listed teacher (in the Ensembles/Classes setup) whose name will be printed at the top right of this roll.
