There has been a change to address fields on Form View layouts . Suburb and State now have dropdown lists attached. Postcode will automatically enter if the same suburb has been entered on an earlier record.
I've also changed the field label of 'Address' to 'Mailing Address'. Users should use these fields for the MAILING address as it's these fields that will be used for mailing labels. I have added some new fields for RESIDENTIAL address. These can be seen on the 'Other' tab. I've also added a button just above the Mailing Address field 'Click to enter residential address' and this goes to the Residentail Address field. The "Status" field in Tuition has been changed. Have removed "Start Date" from the calculation. The Status is now determined only by the ENROLMENT DATE and TERMINATION DATE. If the enrolment date has passed, and if the Start Date is in the future, the record will be CURRENT.
New report in Salaries GC file: $$ Report by Teacher.
Accessed via button on Salaries GC menu. Produces a report of all amounts paid during a particular session, or a specified date range, and summarises by teacher. User also has the option to show breakdown by date paid. Also changed the name of the button above this one to say $$ Report by Session (used to say "Print progressive report by Cost Centre"). This script produces a report of all amounts paid during a particular session, or a specified date range, and summarised by Cost Centre. Each session prints on a new page. New printout: Ensemble Log (or NECOM School Ensembles). What Do You Want To Do > Printouts OR Beginning of Term OR NECOM > Ensemble Log. Looks like a roll, but lists the ensembles for each teacher. Teachers can mark whether or not they took an ensemble each week. Ensembles can be easily counted up at the end of the term.
Have changed the way Total Outstanding Amount is displayed on the invoice (if that preference is selected on Invoice Set Up screen). On the Invoice layout, the date printed (not necessarily the same as date billed) appears at bottom left of invoice to the right of "Printed using Music Monitor..." Added 'Student Name' field to search screen when clicking 'Mark Rolls' or 'Search for and view records' from What Do You Want To Do? Sometimes it's helpful to be able to search for just one student at this point.
Created new field in Salary Line Items - Cost Centre. Previously, this field was only referred to in this file from the Tuition Fees file. However, it made it difficult to run historical reports, particularly if cost centres had been changed or deleted.
There is a new field on the Repair tab in Resources: Total cost repairs.
Displays the total amount spent on repairs for an instrument. Visible at the bottom of the Repairs portal. There is a new field in Attendance Codes: Lesson count for Attendance. You can enter a number in this field indicating whether the lesson was ACTUALLY attended. For example, if lesson was missed (regardless of whether or not notice was given), a 0 might be entered in this field. If schools have a code to indicate 'Lesson PLUS Makeup Lesson Given', a 2 might be entered in this field. For standard attended lessons, a 1 might be entered. This gives you the ability to view total lessons actually attended by a student. The field also added to Attendance table. There is a new button on roll-marking screens for teachers and the Mark roll screen (from What Do You Want TO Do > Roll marking tuition): "Show Attendance Record for Term". Clicking this takes them to a screen showing all attendance records for that particular teacher for the Term (or Semester, if rolls have been set up in Semesters). List is sorted by Student name, then Week Commencing. This screen also shows a total of the ACTUAL LESSONS ATTENDED (new field).
If you haven't archived attendance records at the end of the year, before you started setting up rolls for the new year, tyou can find a set of records in the Attendance file (say all records with 2015 in the Week Commencing field) and then run this script. It will leave the current year's attendance records in the Attendance file.
