In v 8.1.07 and above a 'Duplicate Record' button has been added (top of screen next to Delete Record button) on the Form View It removes the students, day, time and venue. These need to added for the new ensemble. Other details remain the same.
Don't forget to amend the name so it is different to the original. In v8.1.06 and above there has been changes to the formatting of the little '+' buttons that indicate a note has been entered for that week in Ensemble Roll-Marking layout. If the note says "CREDIT", the + button will be shaded red. This is to help conservatoriums (and some schools) that credit lessons back for ensembles or groups. You can add 'CREDIT' as an option to the Notes dropdown list and that can be used whenever a lesson/session is to be credited back to the student. At the end of the term, the administrator can look through the rolls and make sure the number in the Allowable Absences column matches the number of red squares on a student's record.
The 'Allowable Absences' column heading is now also an auto-sort button. This list will hopefully be helpful when working out the credits at the end of each term. (I will probably add a button to 'send these adjustments to accounts'. But not yet.) In v8.1.05 and above there is a new Conductor List - Conductor List 4. Go to What Do Yo Want To Do > Printouts and scroll down to Ensembles
Heading at top displays ensemble name, conductor(s), day, time and venue. Body of report displays student name, school, gender, age, ensemble part, lesson day, lesson time, primary parent contact details, special needs notes. In v8.0.98 and above the ensemble Part will appear underneath name of student if roll is sorted by last name or form.
If roll is sorted by Ensemble Part, the ensemble part appears as a subheading, so doesn't need to be underneath the name. In v8.0.97 and above there is a new script to 'Send found set to Exams' (Ensembles file > Scripts menu > Actions). Useful for enrolling a whole theory class at once into an AMEB Exams.
In v 8.1.06 and above the script has been modified that finds ensembles to import to Attendance rolls each week.
Search criteria now includes Pending ensembles, as well as Active ensembles, and omits any with a start date greater than the next 7 days. In v 8.1.02 there is a new roll layout for Wollongong Conservatorium. Similar to NRC's but page breaks are after each teacher, rather than each ensemble. It sorts by teacher, then ensemble day and time. (This sort order is specifically programmed into the script, so the sort order on the screen where headings are entered will be ignored.) Squished up a bit more, too, so that more fits on a page. Note: If more than one teacher is assigned to an ensemble, it will be the FIRST listed teacher whose name appears at the top of the roll. This script can be run from What Do You Want To Do > Printouts > Ensembles: Ensemble Roll WCM In addition there is a new script in Contacts to email the roll to a found set of teachers
In v 8.0.94 and above, there has been a slight amendment to how an attendance is viewed in Ensemble Roll-Marking > Printable rolls.
If a student was marked as having attended the rehearsal, and then if the roll was printed, it was appearing as an x rather than a tick. Confusing for some teachers. Changed to ticks now. In v8.0.93 and above the access privileges for 'Instrumental and Ensemble' login has been modified.
All teachers assigned to a particular ensemble can VIEW the ensemble on their calendar and roll, but only the FIRST THREE listed teachers can EDIT or DELETE the calendar entry. In v 8.0.85 and above there is a new field in ensembles/classes - Minimum Members. A number can be entered in this field to determine the minimum size for an ensemble. Ensembles with a number in this field will have a "PENDING" Status until the minimum number is reached. (The Status field refreshes every night, so it may not update immediately. However, I've added a 'refresh' button to the Status field label which can be clicked to refresh immediately.) Pending ensembles will still show in the dropdown list of ensembles when enrolling students. Pending ensembles are shaded ORANGE on the Ensembles List view and Form view. Ensemble ENROLMENTS are also shaded ORANGE in the Ensemble Enrolments file on the List View and the Accounts Checklist (to avoid billing students that are enrolled in an ensemble that isn't running yet).
