In v 8.0.63 and above there is a new button on the Calendar Entries tab to display timetable as a CHART! It's to the left of the printer icon, looks like a table. It displays timetable for the current term. (Note: The Week Commencing dates on this view are global fields that reset as part of the system Opening Script. The script searches for current term dates in the calendar and uses Monday of each week to determine the W/C dates. It gets the current term from the File Term and Year in File Preferences on the Home screen. If it can't find a match or if the script trips up for some reason, the dates will stay as they were.) 1. The sort order can be changed to sort by Student Name (sorts alphabetically by last name) or Lesson Time (sorts by day then time) by clicking the radio buttons at top of screen. If sorted by Time, it displays a Lesson Day subheading and prints each day on a separate page. (It uses the REGULAR lesson day of the student in this sort order. So for example, if a student normally has their lesson on Monday, but has it on Tuesday on the first week of the term, they will be grouped with the Monday students, not the Tuesday students.)
2. Hover your mouse over the name of the student to see the subject, lesson length and venue. Click the student's name to go to Students Form View. (This is especially helpful in the case of red clashes, when you need to see what else is on the student's calendar.) 3. Days and Times are all EDITABLE on this screen and any changes flow straight back through to the calendar. However, lesson days and times cannot be added or deleted from this view. (The text can be cleared but it won't delete the entry from the calendar.) 4. Email the chart to the teacher by clicking the email button at top of screen. (I haven't set up a button to email the chart to students. I think the other options already in the system are probably still better for students??) * 4. The chart can be printed by clicking the printer icon at top of screen. 5. The Week Commencing headings can be modified by selecting a new date from the dropdown calendar. However, remember the week commencing MUST be a Monday. If a different day is selected, the lesson times will disappear from this view. (They won't be deleted from the calendar but they won't be visible because this chart won't be able to find a match.) If the term is longer than 10 weeks, the first 10 weeks can be displayed, then select different week commencing dates to display the last few weeks. 6. A yellow asterisk will appear next to the lesson day if a clash with a calendar exclusion has been found. Hover over the asterisk to see a description ot the exclusion. (Unlike the Calendar Entries tab in Contacts, the asterisk can't be dismissed on this view.) 7.Times will be shaded yellow, red or blue if a teacher, student or venue clash has been found. Times are shaded orange for group lessons. This is a great view for those people who like the old way of doing timetables! It gives a nice, clear overview and prints using much less paper than the list. There are a few limitations however (same limitations as the old way of doing timetables): * it doesn't show more than one lesson per student per week * it doesn't show ensembles or breaks or any non-tuition records * it doesn't show venue (but venue can be seen by hovering mouse over student name.
