What is Music Monitor?

Music Monitor is the comprehensive database for music departments in schools and conservatoriums. It features holistic student records covering all activities, and user-friendly interfaces for administration staff and music teachers alike.  

It is built on full powered database software, which allows for full searching and reporting capability drawing on all possible fields. 

It is tailored for the needs of Australian schools and regional conservatoriums, and with direct access to the developer there are new features added continually at the request of users.

WHAT DOES IT DO?
  • It records and schedules students' instrumental lessons and ensemble involvement, as well as performances, exams, instrument hire, excursions and more.  
  • It stores contact details and allows you to send emails and SMS directly from Music Monitor to individuals or groups as well as batch emails from customised templates.  
  • It manages billing for all activities, with capability for discount arrangements, and allows for invoicing from Music Monitor or from your finance system.  
  • It records attendance and allows for easy payroll calculations for your accounts department.  
  • It allows you to produce assessment reports for your students.  
  • It manages resources. This includes rooms, fully tied in with the scheduling functions, as well as instruments, music books and other resources.  
  • It keeps up with your complex awards system.  
  • It allows you to grant access for your teaching staff to mark rolls and communicate with their students, and for head teachers to see the activity of their whole department.  
  • It allows you to add notes to any student, staff member, lesson, or anything else that may need that extra bit of information.  
  • It has a suite of pre-prepared reports and allows you to pull out a custom report of any data held in the system.  


IS IT EASY TO USE? 
Yes! Music Monitor has an intuitive user interface built over the top of the powerful database, and the on-screen ‘Help’ buttons provide instant answers and explanations.  


​​DOES IT REQUIRE ANY SOFTWARE TO RUN?
Music Monitor requires Claris FileMaker software as the underlying database. 

Administrative staff will need the FileMaker software installed on their machines. You can give your teaching staff the option of access via a web browser, or also the free FileMaker Go app for iPhone or iPad.  

All software is included in the purchase price, and FileMaker updates are included in the annual license fee. 

Updates to the Music Monitor product are also provided annually as part of the license package.  


​​WHERE IS OUR DATA STORED?
All the data is stored in a set of files that make up your database package. You can host this on your own server, or we also offer an encrypted Australian hosting service.

WILL IT INTERFACE WITH OUR SCHOOL DATABASE?

Yes!  

Integrations between Music Monitor and the most common school databases are continually improving, but even with the most basic school system we can set up an import and export routine that minimises the work to keep the systems in sync.  

There are similar shortcuts developed for bringing in data from online application forms, and for exporting to various accounting applications.

​​OUR NEEDS ARE FAIRLY UNIQUE.  IS IT CUSTOMISABLE?

Most of the improvements made to Music Monitor over the last twenty years have been in direct response to requests by schools. Discuss your needs with the developer and it may be possible to incorporate your preferences.
